Independent Dealership Website Build Process

DealerOn Independent Dealership Website Build Process

Our website build process can vary, based on any specific requests and most importantly, the level of dealer engagement. It is important that you are involved and responsive as we set up your inventory feed, build your site, and reach out for your approvals.

With dealer participation, most sites are built in about 30-45 days.

For reference, here are a few of our general turnaround times to keep in mind for your new build:

  • FULL WEBSITE BUILD: 30-45 Calendar Days
  • Homepage Design Requests: 7 Business Days
  • Content Migrations: 10 Business Days
  • General Design Updates / Edits: 3-5 Business Days
  • Small Content / Copy Updates: 1 Business Day
  • Inventory Order(s) / Setup: Typically, 10 Business Days (however, please note: some providers may take 3-4 weeks to return)

The below timeline references will help you plan and prepare, as well as give direction as to the level of participation that we will need from you to proceed to the next steps:

Day 1-3: Prior to engagement with your Implementation Project Coordinator

  • After your DealerOn Agreement has been completed, you will receive the link to complete your onboarding forms. This should happen within the first 24 business hours of you signing the DocuSign.
  • Take your time filling out the onboarding forms. The information you submit will be very important for us to complete the build, so it needs to be accurate.
    • Be sure to provide a detailed list of the pages that you want migrated from your existing website.
    • Also, provide details of any existing, custom content that you want to retain.
  • Once you have submitted your onboarding forms, you will select SUBMIT and your completed forms will be sent to the Implementation Team.
  • As soon as the Implementation Team confirms receipt of your completed onboarding forms, then you will begin the phases to complete setup, approve your new site build, and get your new website live!

Week 1 Implementation Project Coordinator Meeting (As soon as 24-48 business hours after you’ve submitted your onboarding forms)

  • You will receive an outreach (email and follow-up call) from your implementation coordinator to set up our first conference call to discuss the entire website build.
  • During this call, we will discuss everything from the homepage design to inventory setup. This is the best time to discuss any special requests/notes with your coordinator.

Phase 1: Website Setup (Will Take 5-10 Business Days)

  • At this point, several background processes will take place. As part of these background processes, we will analyze your current website(s) for custom content that should be migrated.
  • We will refer to the details you provided in your onboarding forms as to the list of pages you want migrated from your existing website, so be sure to provide a detailed list.
  • During this phase, inventory setup and any needed inventory orders will also be in process.
  • To avoid delay, it is important at this phase that we finalize the setup of your DNS. Please work closely with your Project Coordinator to complete setup accurately.
  • Lastly, as we finalize Phase One, we will work directly with our design team to create your selected homepage.

Phase 2: Website Review (Will Take 5 Business Days)

  • Once the homepage and inventory orders are completed, we will send you a staging URL.
    • This URL will remain active as long as you have a website with DealerOn.
    • All updates and changes can be viewed on it. We will also use it to review the site with you.
  • After a review call is completed, we will focus on website edits for 5 business days.
    • This will give us time to get any edits or changes completed.
    • (Please make yourself available for this review call.)
  • When the edits are completed, the new site will be sent to you.
  • Any additional edits that come in after the review phase may not be completed until after the site is live; otherwise, this may postpone the launch of the site.

Phase Three: Launch Preparation (Will Take 5 Business Days)

We will also use this last week to view a training video on how to use the CMS. This will show you all of the ins and outs of the DealerOn CMS.

  • The final week before launch will be focused on a full sweep by our quality assurance team.
  • You will be provided a link to a training video createdby our live support team. This will show you all of the ins and outs of the DealerOn CMS.
  • We will also reach out to you for final authorization of the website launch.
  • Launches normally take place Mon-Wed during the week. Your coordinator will make sure you are informed of these timelines.
  • On launch day, your coordinator will keep you up to date with the progress of the launch.
  • Keep in mind propagation and caching may prevent you from seeing the new website for some time after it's been set live. Contact your coordinator with any questions.

Phase Four: Post Launch (24 hours after launch)

  • Shortly after your coordinator confirms your new site is live, they will begin all the final processes needed to complete the build.
    • You'll be given any new contact information for your Support team.
  • They will also take care of a few back-end processes such as granting your team CMS access or setting up Google/Bing search console for the new site.
  • Your coordinator will also bring your support team up to speed with anything that's still in progress for the build.
    • They will remain in contact until all previous requests are completed.
